PhD Journey in India: From Admission to Thesis & Viva

Research planning, coursework, synopsis, thesis submission and viva — a step-by-step education guide.

First, check the university's own rules. The UGC (Minimum Standards and Procedure for Award of Ph.D. Degree) Regulations, 2022 provide a national framework, but the relevant higher educational institution (HEI) specifies admission notices, disciplinary requirements, evaluation schedules and procedures. This is a planning guide, not an admission guarantee or a substitute for the latest institutional ordinance.

The minimum duration under the 2022 framework is three years including coursework; the normal maximum is six years, subject to prescribed extensions and relaxations. Read the UGC duration provisions.

The 9 stages of a PhD journey

Use this roadmap to find the stage you are at now. Research proposal approval, topic finalisation and coursework can overlap or be organised differently by your university.

01

Check eligibility and research fit

Begin with an honest assessment of your academic background, proposed discipline and reason for doing research. A doctoral programme demands independent reading, a defensible research question, sustained analysis and repeated revision. It should support a clear professional, academic or intellectual objective.

Under the UGC 2022 framework, qualifying postgraduate routes commonly require at least 55% marks or an equivalent grade, with permitted category relaxations. Certain qualifying four-year or eight-semester bachelor's degree holders have a separate 75% route, subject to applicable relaxation and institutional conditions. Degree equivalence, discipline fit and programme requirements must be checked against the relevant admission notification.

What to prepare: qualifying marksheets and degree, subject preferences, a one-page academic profile, preliminary research interests and a shortlist of HEIs that actually offer the relevant discipline.

02

Admission, selection and registration

Do not treat an advertisement or consultancy message as proof that a university has an active seat. Verify the official prospectus, recognised degree-awarding status, supervisor availability, subject-wise capacity, eligibility, entrance or NET-based routes, interview process, fees, and application dates.

Under the UGC framework, HEIs may use applicable national-level fellowship or testing routes and/or the HEI's own entrance process, as provided in relevant rules. UGC-NET qualification categories and the university's current notification determine how a candidate may be considered; NET is not automatically compulsory for every university and admission route.

Following selection, the candidate completes document verification, fees, registration and any initial research proposal requirements prescribed by the institution. Keep the admission letter, registration number, official fee receipts and copy of the doctoral regulations in one organised folder.

Before payment: confirm the award-granting HEI, its official admission notice, the doctoral mode, any required employer NOC, and the total fee schedule. Aastha Institute does not award degrees or guarantee selection.

03

Coursework and research ethics

Ph.D. coursework is intended to strengthen your research methodology, subject knowledge, literature-handling skills and ethical judgement. The UGC 2022 framework prescribes at least 12 credits, including research methodology and a Research and Publication Ethics course, with a minimum satisfactory coursework outcome set by the regulations.

Learn to formulate research questions, select valid study designs, understand sampling, document evidence and maintain accurate citations. For laboratory, field, human-participant or sensitive-data research, discuss required ethics or institutional permissions before collecting data.

What to prepare: course schedule, research methods notes, a reference manager, ethics documentation where applicable, and proof of completed assessments.

04

Research topic, literature review and gap

A strong research topic is neither so broad that it becomes unmanageable nor so narrow that it cannot contribute useful knowledge. Start with a field of genuine interest, then map the published literature: what is known, what is contested, what is underexplored and what methods have been used.

Write a concise problem statement that distinguishes the practical situation from the academic research gap. Test feasibility: available data, equipment or field access, time, ethical considerations, supervisor expertise and the possibility of collecting credible evidence. Topics may be revised after discussions with the supervisor or Research Advisory Committee.

What to prepare: an annotated bibliography, research-gap matrix, proposed objectives, initial conceptual framework and documented feasibility checks.

05

Synopsis, proposal and approval

A synopsis explains what you intend to investigate, why it matters and how you propose to study it. A typical proposal includes a title, background, brief literature review, research gap, objectives, questions or hypotheses where appropriate, methods, proposed analysis, limitations, ethics considerations and references.

Follow your university's prescribed format, word count, referencing requirements and approval process. Do not copy another scholar's synopsis. The Research Advisory Committee or equivalent institutional body reviews the research proposal and topic and guides the research design.

What to prepare: synopsis in the official template, a short presentation, a clear response to feasibility questions and records of supervisor or committee feedback.

06

Research execution and progress reviews

Carry out the approved methodology carefully. Record data provenance, sampling choices, field notes, permissions, limitations and any deviations from your study plan. Secure participant information and avoid data fabrication or selective reporting.

The UGC 2022 framework provides for a Research Advisory Committee (or equivalent body) and semester-wise progress presentations and brief reports. Your university may require attendance, laboratory work, annual reviews, research seminars or other discipline-specific milestones. Use each review to clarify what has been completed, what remains and what decisions are needed.

What to prepare: progress logs, clean datasets or archival records, analysis notes, ethical approvals, meeting minutes and a realistic work plan for the next review period.

07

Thesis writing and pre-submission

The thesis must communicate the scholar's original research, not merely compile summaries from other publications. Chapter structures differ, but many theses explain the problem and literature, conceptual and methodological choices, evidence, analysis, findings, contribution, limitations and recommendations where relevant.

Draft incrementally while the research is under way. Cite every source accurately and maintain original data and analysis. The UGC 2022 framework requires a pre-submission presentation to the Research Advisory Committee, plagiarism-detection arrangements, and the prescribed scholar and supervisor originality declarations when the thesis is submitted for evaluation.

Do not assume that any single similarity percentage automatically establishes originality. Institutional assessment considers the nature of overlaps, attribution and academic integrity; the applicable threshold or rules should be verified with your university.

What to prepare: thesis according to the university template, a verified bibliography, figures and tables, ethics documentation, originality declarations, and any prescribed pre-submission forms.

08

Thesis evaluation and viva voce

After authorised submission, a doctoral thesis undergoes evaluation by the recognised supervisor and external subject experts under the applicable doctoral rules. The viva voce is the opportunity to defend research choices, explain findings and address examiners' comments. Your ability to distinguish evidence from interpretation matters more than rehearsing generic answers.

Prepare a concise explanation of the research problem, aims, gap, methods, originality, findings and limitations. Review the major publications underpinning your work. If examiners request corrections, follow the prescribed process and retain records of every approved revision.

What to prepare: an evidence-backed viva presentation, response notes, a summary of original contributions and documentation of changes requested by examiners.

09

Final corrections, approval and degree award

Passing the viva may still be followed by required corrections, committee approvals or administrative formalities. Confirm that every examination condition has been formally satisfied before assuming the degree is awarded. Request the provisional certificate or final degree documentation through the university's official process.

The 2022 regulations provide for the HEI to submit an electronic copy of a successfully evaluated thesis to INFLIBNET before announcement of the Ph.D. award. The candidate should follow the university's deposit, repository and embargo procedures where applicable.

What to prepare: final accepted thesis, viva outcome, completion certificates, repository paperwork and official degree or provisional-certificate records.

Part-time PhD versus online PhD

Part-time PhD can be permitted

The UGC 2022 regulations permit part-time Ph.D. programmes subject to applicable conditions. An employed candidate may need an employer's NOC, time for coursework and compliance with supervision, attendance and research requirements.

Online or distance PhD is not permitted

The regulations prohibit HEIs from conducting Ph.D. programmes through online and/or distance mode. Online resources used for learning or research do not convert an authorised part-time Ph.D. into an online Ph.D. programme.

Common mistakes that delay doctoral progress

  • Selecting an institution without checking its latest doctoral ordinance and supervisor capacity.
  • Choosing a topic before evaluating available evidence, access and research feasibility.
  • Ignoring proposal feedback, progress-review deadlines or ethics permissions.
  • Collecting data without traceable records, consent where required or a defensible method.
  • Waiting until the final year to organise citations, tables and thesis chapters.
  • Assuming publication in any journal, or a low similarity score, proves research quality.
  • Using third-party ghostwriting or fabricated data that misrepresents the scholar's own work.
